SITE: PHILLIPS EXETER ACADEMY, EXETER, NEW HAMPSHIRE.  Phillips Exeter Academy's swimming facility is an exceptional competition pool: an eight‑lane 25‑yard course, with non‑turbulent lane lines, ample deck space for competitors, and a large, comfortable spectator area. Fully automatic 8- lane Colorado timing system will be used.

ELIGIBILITY: All contestants must be 2007 or 2008USA Swimming registered athletes.  All swimmers must be registered before the entry is submitted.  Teams that enter unregistered swimmers will be subject to a fine of $100 per unregistered swimmer.  New England teams entering the meet are required to check their entries with the online registration check tool on the New England Swimming web site.  Please contact the New England Swimming Office for registration information. ENTRY INFORMATION:  Entry and disclaimer forms must be completed and received by November 12, 2007. Entry. Entries will be accepted on and after October 6, 2007. If you do an electronic entry, please do not send a hard copy of the entry.  Make checks payable to Seacoast Swimming Association.  Mail completed forms to:  Harry Hobbs, 489 Sagamore Ave., Portsmouth, NH 03801 (603) 431-7696.  Entries should be sent by certified mail, return receipt requested to insure delivery.  All forms must be typed or printed legibly and must contain swimmers' ages and USS numbers.  There will be no refunds for entries accepted, or entries rejected due to improper entry. All swimmers must be registered with USA Swimming before the entry is submitted. Any swimmer who is entered with incorrect swimmer information, or an incorrect or no ID, or is unregistered, will be scratched from the meet until corrections are made per the New England policy.  . Seacoast Swimming Association may reserve up to 75% for its own team and any other teams (New England and/or out of district) that it may want to invite to the meet.  The other 25% of the swims will be open to other teams to submit entries.  If on the first day of acceptance, those meet entries exceed the 25% still available in the meet, there will be a lottery of those teams.  The New England Swimming Office will run the lottery.  In order to make sure that the meet is neither over subscribed nor under subscribed, all teams included in the 75% must submit their entry and payment at least on week before the date of first acceptance.

 

ENTRY LIMITS: Athletes may enter and swim in a maximum of 5 events per day.

 

COMPUTER ENTRIES:  If your team has a computerized entry system using the Hy-Tek program, email entry file as an attachment (.cl2 or .sd3 format) to thanksgiving@seacoastswimming.com.  Insure that team address and contact information are entered correctly in this file as this info will be used as your team contact for meet information.  Send all email correspondence regarding this meet to the above email address.  For email entries, payment and release form must be received within 4 days of receipt of the email entry.  If the payment is received within 4 days of the email entry, the date of receipt of the email entry file will be considered the date your entry for the meet was received by Seacoast Swimming.  If payment is not received within 4 days of the email entry, the entry will be considered received as of the date that the payment and hard copy are received.

 

ENTRY TIME UPDATES: Entry times may be updated until 7 days before the meet by email file only, provided no new entries are included and no other changes are made to the entry file. Anything but a file identical to the original entry file with times updated will be rejected. If additional entries are to be accepted, a separate file and entry fees must be submitted.

 

ENTRY FEES:  $4.00 per event for electronic entries; $ 4.50 per entry for entries that must be entered by hand.

 

SWIMMER PARTICIPATION FEE: each entry fee must be accompanied by a $3.00 per swimmer,  “Swimmer Participation Fee”.

 

ENTRY TIMES:  All entries must be in yard times or meter times converted to yard times using the conversion .88 times total number of seconds.

 

PROGRAMS:  $3.00 per session

 

ADMISSION:  No Admission Charge

 

MEET FORMAT:  The meet will be swum as timed finals.  The meet will be computer seeded based upon a positive check-in at the beginning of each session.  Swimmers must check in or they will be scratched from the session.  Late arrivals may be un-scratched for remaining unseeded events.  Seeded event sheets will be posted after completion of the bullpen check-in.  Swimmers may swim in no more than five events per day, including time trials.

 

SAFETY:

  1. Diving will be prohibited during warm-ups except in specifically announced one-way sprint lanes.   Athletes must, at all times, enter the pool only from the starting block end.
  2. No shaving is permitted at the competition site.
  3. No glass containers are permitted within the facility.
  4. Swimmers must be under the supervision of a coach.  If a swimmer arrives at the meet without a coach, the swimmer should notify the referee before he/she warms up.  The referee will assign the swimmer to a registered coach for warm-ups.
  5. No camera cell phones are permitted in the locker rooms.

 

 

WARMUPS:  Warm-ups may be divided.  Warm-up schedule will be distributed to each team participating in the meet. No diving during warm-up except in designated sprint lanes

 

DISABLED SWIMMERS:  Disabled swimmer forms are available from the New England Swimming Office.

 

OFFICIALS AND TIMERS:  Volunteer officials and timers will be appreciated.

 

RULES:  2007 U.S. Swimming rules will govern all competition and decisions by the meet referee will be final, unless a written protest is lodged within 30 minutes of the heat swum.

 

MISCELLANEOUS:  All coaches should check in with the Clerk of Course upon arrival at the pool to pick up coaches' packets.  Coaches are responsible for the behavior of their swimmers at all times.  Any damage to the premises or equipment is the responsibility of those doing the damage.  Seacoast Swimming Association and Phillips Exeter Academy assume no responsibility for lost or stolen property.  No one is permitted on deck except, athletes, coaches, timers and officials.

 

DIRECTIONS:  From North or South: Route I‑95 to Hampton tolls. Exit at tolls to Route 101 West. Take exit from 101 for Route 108, Left turn on 108 South. Follow 108 south about 1.5 miles to bandstand in downtown Exeter. Turn left at bandstand (still 108), road forks shortly, take left fork, Court St. (still 108), facility is approximately 1 /2 mile on the left, just past tennis courts. From West: Route 101 East to Portsmouth/Stratham exit for Route 108. Turn right at light and follow 108 South as above.

 

PARKING: Parking is available in the Phillips Exeter Athletic Facility parking lot, and on public streets where parking is permitted. Improperly parked cars will be towed at owner's expense.

 

AWARDS:  Custom ribbons for the first eight places.

I.  Friday P.M.: Open (Warm-up 4:30 p.m., Meet 5:15 p.m.)

II. Saturday A.M.: 11‑12, 13‑14 (warm‑up 7:00 A.M., Meet 8:00A.M.)

III. Saturday P.M.: 10 & U, Senior (warm‑up 12:15 P.M., Meet 1:15 P.M.)

IV. Sunday A.M.: 11‑12, 13‑14 (warm-up 7:00 A.M., Meet 8:00 A.M.)

V. Sunday P.M.: 10 & U, Senior (warm-up 12:15 P.M., Meet 1:15 P.M.)

 

WARM-UPS MAY BE DIVIDED DEPENDING ON THE NUMBER OF SWIMMERS. A specific warm-up schedule will be distributed to each team entered in the meet.

 

Seacoast Swimming Association reserves the right to limit the number of heats for Friday nights session to 8 heats of 200 IM, and 8 heats of 400 IM and 500 Free due to time constraints.
